Every visit should pick up where the last one ended.

A customer test-drives a car in March, books it in April, returns for a first service in the summer and asks about an extended warranty at year end. If each conversation starts from nothing, the dealership looks as though it has forgotten them. We build the software that keeps that history in one piece.

From showroom enquiry to service bay.

01

Enquiry and test drive

A walk-in, a call or a web lead is logged once, with the model of interest and the sales consultant who owns it. The test drive is booked against an available demo vehicle.

02

Booking and delivery

Booking amount, finance and insurance paperwork, accessories and the delivery date sit on one record, so the delivery team isn’t caught out by a missing document on the day.

03

Service visits

The customer books a slot online or by phone. The service advisor opens a job card with the vehicle’s earlier visits already on screen.

04

Renewals and add-ons

Insurance renewal, extended warranty and service package dates are known from the sale. They should prompt a call from the right person instead of waiting for the customer to ask.

05

After each visit

Feedback, the next service due and any work the customer postponed return to the customer record, where the next person can find them.

Sales follow-ups without a custom build.

Our productCRM

SmartBDM for the sales floor

If the pressing issue is enquiries going cold, SmartBDM may solve it before any custom work begins. It is our own AI-first CRM: a consultant’s calls, notes and WhatsApp chats with a buyer stay on that buyer’s lead, while AI tidies the record after each conversation, suggests a follow-up and highlights leads at risk of going cold. There is no charge for it, any number of consultants can use it, and the mobile app suits people who spend the day on the showroom floor.

  • Lead history in one place
  • Next steps suggested by AI
  • A mobile app for the sales team

The manufacturer’s system leads

Build around the DMS

Many franchised dealers must use the manufacturer’s dealer management system for vehicle orders, warranty claims and parts. New software then sits around it: a booking front end, a follow-up tool, reports across outlets. We check what data the DMS lets you take out before scoping anything.

  • Service bookings and reminders
  • Reports across outlets

Build the main record

Independent workshops, multi-brand groups and used-car businesses often have nothing that fits. A custom tool for job cards, estimates, parts and vehicle history can become the main record.

  • Job cards and estimates
  • Parts used on each job
  • History by registration number
Custom software

Dealer principals ask.

Can it cover several showrooms and workshops?

Yes. Access and reporting follow your outlet structure, so a branch manager sees their branch and the owner sees all of them.

Will customers get service reminders on WhatsApp?

They can, through a properly approved WhatsApp Business setup and timing rules you choose. Customers should be able to reply to move the slot.

Can technicians update the job card from the bay?

Yes, on a tablet or phone. Additional work found during the service can be photographed, estimated and sent to the customer for approval before the technician starts on it.

Who owns the customer data if we change brands?

That depends on your agreements with the manufacturer, so read them first. In anything we build for you, the code and data are yours; see ownership and handover.
