Stop asking customers for the same document twice.

A loan applicant uploads a bank statement, the credit officer can’t find it, and operations emails to ask for it again. Each repeated request chips away at the customer’s patience. We build application flows and internal review tools around a single case file that everyone involved can rely on.

Your compliance team sets the rules. We build to them.

Financial businesses work under obligations that vary by licence, product and country: KYC, consent, record retention, outsourcing and more. We don’t decide which of these apply to you, and we won’t pretend to. Our part is to make sure the requirements your compliance and legal people set are in the brief from the first week, and that the software makes them easy to follow and hard to skip.

In practice that means asking early who may see a PAN card or a bank statement, how long a rejected application is kept, which steps need a second reviewer and what an auditor would want to trace later. Those answers shape the data model, so they can’t be left until the end.

Specialist review of regulatory requirements stays with your team and your advisers.

What a case file holds, and who sees it.

One application, followed through.

01

The customer starts and saves

The form asks for information in stages and lets the applicant stop halfway. A relationship manager or direct selling agent can begin it for them if that’s how you source business.

02

Operations checks it is complete

Missing or unreadable documents are flagged on the case rather than chased by loose email. The customer sees exactly what is outstanding.

03

A reviewer decides

The case is routed by product, amount or region to the right person, who records a decision and any conditions. Internal notes stay internal, under roles and permissions you set.

04

Everyone sees the outcome

The applicant gets a clear status and next step. Staff get every action on record in an audit trail they can search.

Choices to weigh early.

01

Front end or full system?

If you already run a core lending or policy platform, the new software may sit in front of it. Our guide on custom or ready-made software helps frame that call.

02

Where the data lives

Hosting region, encryption and who on our side can reach production belong in the first conversation, particularly where your regulator has views on outsourcing.

03

What partners can submit

Agents and referral partners may need to file and track cases. Their view should show their own cases and nothing more.

04

Where AI may help

AI can read documents or summarise a file for a reviewer. Whether it may influence a decision is a policy your team sets, and the software should record wherever it was used.

05

Wording the customer sees

Status labels like “under review” or “additional information needed” look trivial and cause many of the follow-up calls. Agree them with operations and compliance before design starts.

06

Sending a case back

Reviewers often return a file to an earlier stage. Decide who can do that, what the customer is told and whether the clock on your service standard restarts.

Before you commit.

Can customers upload documents from their phone?

Yes. Upload, camera capture and status checks can all run in a mobile web app, with file type and size checks before anything reaches a reviewer.

Do we own the code and the data?

Yes. Code, data and accounts are yours, and we document the system so it can be handed over whenever you choose. See ownership and handover.
