What did we promise the guest in room 204?

A guest request can touch reservations, the front desk, housekeeping, maintenance and billing. When it lives in one person's chat, the next shift never hears about it. We build the tools that keep requests, and the handovers around them, in view.

Take a mid-sized resort with a property management system at the front desk and a WhatsApp group for each department. A guest asks reception for a late checkout and an extra bed for a child. Reception agrees to both, posts in the housekeeping group, and the shift ends. By night the extra bed hasn't arrived, the night manager can't find the message, and the late checkout never reaches billing.

Hotels generally have sound systems for the big records: reservations, rooms, folios. What falls through is everything said in passing — requests, complaints, maintenance issues, birthdays, promises made at check-in. Each needs an owner, a status and a handover, and it needs to sit next to the reservation so the next person can see it.

We build that layer: a request log shared by front office, housekeeping, maintenance and F&B, connected where possible to your PMS so guest and room details come in automatically. We also build direct-booking and guest-facing tools when a property needs something its booking engine can't do.

Tools a property might start with.

01

Guest request log

Every request gets a category, an owner and a promised time. Housekeeping and maintenance update it from a phone, and the front desk sees status without calling round.

02

Shift handover

One view of open requests, VIP arrivals, complaints and pending follow-ups, so the incoming shift picks up where the last one stopped.

03

Direct bookings and add-ons

A booking flow on your own website for rooms, packages or experiences, with deposits and changes handled properly.

04

Guest updates

Confirmations and reminders by email or WhatsApp, triggered from real booking events.

Who sees what about a guest?

Shared widely

What every team needs

Room number, stay dates, the request itself, its owner and its status. Housekeeping needs nothing more to deliver an extra pillow.

  • Open requests by room
  • Promised times and owners
  • Notes for the next shift
Kept to a few roles

What stays restricted

ID documents, payment details, phone numbers and anything a guest shares in confidence. Access follows the role, set up through roles and permissions.

  • Identity and payment records
  • Guest contact details
  • Complaint and incident notes

Agree these with your department heads.

  • The request categories you actually receive, and which team owns each
  • Response times you are prepared to promise guests
  • How shift handover works today, and who signs it off
  • Which PMS, channel manager and booking engine you run, and what each lets us read
  • Whether staff use their own phones or shared devices on the floor
  • How several properties should share or separate their records

Questions hoteliers put to us.

Can you connect to our property management system?

Often, yes. We check what your PMS exposes through its API or integration partners before promising anything. Where it offers no access, the request log can still work with room and guest details entered at the desk.

Do guests need to download an app?

No. Guest-facing pieces, such as a request form reached from a QR code in the room or a booking page, can run in the browser.

We run three properties. One system or three?

Usually one, with each property's staff seeing only their own records and the owners or cluster manager seeing all of them together.
