The distributor orders

Through a portal or app, the distributor orders from the products they are allowed to buy, at their agreed rates and current schemes.

02 · REVIEW

Commercial checks run

Credit limit, overdue invoices and scheme eligibility are checked automatically. Orders outside the rules go to the right manager with the reason shown.

03 · DISPATCH

The depot ships

The depot or C&F agent sees the approved order, records the invoice and dispatch details, and the distributor sees the status change.

04 · CLOSE

Loose ends stay attached

Short supplies, breakage and expiry returns stay linked to the original order, so they don’t restart as fresh email threads.

Product data needs one owner

Brand names, pack sizes, prices and approved materials should come from one maintained master. When field and distribution teams keep private copies, the copies drift apart.

Partner access stays narrow

A distributor should see their own orders, rates, outstanding and documents, and no one else’s. That boundary is designed before the screens, using roles and permissions.

Field apps are used in a hurry

A representative logs a call between two clinics, on a phone, sometimes in a basement. Long forms get skipped; three fields and a voice note get filled in.

Changes need a trail

Who approved an order, overrode a credit hold or published a new leaflet version should be recorded and kept. Our audit trails page explains how.

Schemes are harder than they look

Free-quantity offers, slab discounts and period-bound schemes interact. Writing the rules out with sales and accounts together avoids disputes at settlement.

Reports follow the territory

Managers want numbers by headquarters, territory and representative. If the territory map lives in a sheet, it has to move into the system first.

Commercial heads tend to ask.

Can each distributor have their own login?

Yes. A distributor sees their orders, invoices, outstanding balance and the documents released to them. Staff at the depot or C&F agent can have a separate, narrower login of their own.

Can representatives log visits without signal?

Yes. The app keeps the visit on the phone and syncs it later. We keep the form short on purpose, because a long one gets filled in at night from memory.

Would this replace our ERP?

No. Stock, invoicing and accounts stay in the ERP. The new tool handles ordering, approvals and partner visibility, and exchanges data with the ERP where it allows.
