Dispatch ties a booking to a vehicle, a driver and a stack of documents, and any of them can change mid-trip. We build dispatch and driver tools so the office doesn't have to rebuild the story afterwards.

On an ordinary day

What the dispatch desk juggles.

Early morning

Trips go out on WhatsApp.

The dispatcher sends each driver a voice note with the pickup point, the consignor's number and the LR. Until someone copies it into the trip register, the trip exists only in that chat.

Mid-route

A truck breaks down.

The load shifts to another vehicle, sometimes a market truck hired for the day. Two drivers, two vehicle numbers and one consignment now need reconciling, and the original assignment shouldn't vanish from the history.

Unloading

The POD is a photo.

The driver photographs the signed copy and sends it to whoever they remember. Billing can't raise the freight invoice until it surfaces in the right folder.

Settlement

Advances and expenses.

Diesel advances, tolls, loading charges and driver allowances are settled days later from slips and memory. Disputes follow.

Picture a fleet operator running its own trucks alongside attached and market vehicles. Bookings sit in a transport management tool or a spreadsheet, and drivers carry basic Android phones with patchy signal on the highway. Whatever we build has to respect both of those facts.

On the driver's side that means a mobile app with very few screens: today's trip, started, reached, loaded, delivered, add a photo, report a problem. Updates queue while the phone is offline and send when signal returns. Nobody should be typing at the wheel, so we design for moments when the vehicle is stopped, with large buttons, and keep voice notes as an option where typing is awkward.

On the office side, each trip carries its booking, assignments, documents, expenses and status history. When dispatch reassigns a vehicle, the change is logged and the new driver receives the trip, while anything the previous driver uploads late is still accepted and labelled as theirs. Billing sees which trips have a POD and are ready to invoice.

For hired vehicles, a lighter view lets the owner see the trips given to their trucks and upload documents, without access to the rest of your operation. Our page on partner portals explains how we scope that kind of access.

What fleet owners want to know.

Will drivers actually use an app?

Only if it is quicker than calling the office. That is why the driver side stays small, works in their language and asks for photos instead of forms. We test it with a few drivers before rolling it out to the fleet.

Can it track vehicle location?

If your trucks already carry GPS devices, we can usually read their feed and show it against the trip. Phone location is possible too, but it drains batteries and depends on drivers leaving it on, so we discuss the trade-off first.
